Lead Scoring and Contact Engagement Scoring in Tekmatix

Lead scoring is one of the smartest ways to prioritise, personalise, and manage your marketing and sales strategy inside Tekmatix.

By assigning 'points' to your contacts when they take certain actions - like email opens, form submissions, purchases, or no-shows - you can track who’s engaged, who’s ready to buy, and who needs re-engagement.

Here’s your complete step-by-step guide to setting it up.

Watch the tutorial video below to lean all about lead scoring and contact engagement scoring and how to set yours up in Tekmatix:

What is Lead Scoring (a.k.a. Contact Engagement Scoring)?

Lead scoring is the process of assigning point values to contacts based on their actions (or inactions) within your business.

The more a contact engages, the more points they earn, allowing you to identify:

  • Hot leads

  • Engaged users

  • Loyal customers

  • Inactive or cold contacts

These scores can be used to create smart lists, launch a sales campaign, trigger VIP offers, or guide your sales team’s next call.

Step 1: Access the Lead Scoring Settings in Tekmatix

  1. Go to your Tekmatix dashboard.

  2. Click on Settings (bottom left of your main menu).

  3. Scroll down and click Manage Scoring.

Manage Scoring

Draft/Publish

By default, the score profile is in a draft state. However, once it is published, the score will be reflected for all the contacts. Publishing the score profile and saving it makes it active and applicable to all contacts or leads.

image

Edit Score Profile Name and Description

This feature allows users to customize the name and description of their score profiles to align them with their specific business needs and objectives. This customization ensures that the scoring system is tailored to the organization's unique requirements.

image

Step 2: Set Up Your Lead Scoring Rules

This is where you define how many points each action is worth.

  1. You’ll see a list of default scoring rules already applied (e.g., email opened = 6 points).

  2. To edit an existing rule, click Edit, change the points, and hit Save.

  3. To create a new scoring rule:

    • Click Add New Rule.

    • Choose the event trigger (e.g. “Form Submitted”, “Appointment Confirmed”, “Order Completed”).

    • Select the specific asset involved (e.g., which form or email).

    • Set the number of points to add or subtract.

    • Click Save.

💡 There’s no universal rule for how many points to assign. The important thing is consistency. Consider using a spreadsheet to map out your scoring system (e.g., Purchases = 10 points, Form submission = 3 points, Email open = 2 points).

Rules and Score Builder

  • Rule Customization: Users can fine-tune and edit scoring rules as needed. This flexibility allows organizations to adapt their scoring system to changing circumstances or priorities.

  •  Add or Subtract Points: The score builder feature provides control over the scoring rules. Organizations can create rules to either add or subtract points based on specific criteria, such as engagement level, behavior, or other relevant factors. This allows for a granular assessment of contact engagement.

  • Saving Changes: Whenever a new rule is added or an existing rule is edited, it's important to save these changes to the score profile. This ensures that the scoring system reflects the latest criteria and rules.

Step 3: Create Smart Lists Based on Scores

Smart lists dynamically update based on real-time changes in contact behaviour.

  1. Go to Contacts in your Tekmatix menu.

  2. Click More Filters.

  3. Type and select Engagement Score.

  4. Set a filter like: “Engagement score is greater than 10”.

  5. Click Apply.

  6. Click Save as Smart List and name it (e.g., “Hot Leads: 10+ Points”).

Now, every time a contact passes the 10-point mark, they’ll automatically appear on this list—ready for a sales call, special campaign, or VIP offer.

Step 4: Use Engagement Scores in Email Campaigns

Now that you’ve got scoring and smart lists in place, you can send hyper-targeted campaigns.

  1. Create your email campaign.

  2. When choosing recipients, select the smart list of contacts with your desired score (e.g., 10+ points).

  3. Personalise your email with messaging that rewards their engagement (e.g., exclusive discount, event access).

Step 5: Automate Scoring Inside Workflows

You can also assign or subtract points automatically via workflows.

leads cording and lead engagement scoring at tekmatix

  1. Go to Automation > Workflows.

  2. Either create a new workflow or open an existing one.

  3. Click + Add Action.

  4. Search for “Engagement Score” or “Modify Engagement Score.”

  5. Choose to Add or Subtract Points, and specify the amount.

  6. Give the action a name (e.g., “Add 10 points – Purchased Astrology Course”) and click Save.

Example: If someone purchases a course, you might add +10 points. If they no-show an appointment, you might subtract -5.

These changes update in real-time, influencing which smart list the contact appears on—and ultimately what messaging or follow-up they receive.

Sorting and Filtering in Conversations

Score Display

In the conversations module, users can easily see the engagement scores associated with each contact. This visual representation allows for quick identification of contacts with the highest scores, indicating those with the most active engagement.

image

Sort Contacts

Users have the option to sort contacts based on their engagement scores. Sorting contacts this way helps prioritize high-priority leads and identifies contacts that may require more nurturing or follow-up.

image

Filtering Options

The ability to filter contacts based on score ranges is a powerful segmentation tool. Users can group contacts with similar engagement levels, enabling targeted communication and marketing efforts. For example, contacts with high scores may be targeted for immediate sales outreach, while those with lower scores may benefit from additional nurturing campaigns.

Example Use Cases for Lead Scoring in Tekmatix

  • VIP campaigns for high scorers (e.g., exclusive invites, upgrades, gifts).

  • Re-engagement sequences for low scorers (e.g., surveys, check-ins).

  • Sales team prioritisation based on lead warmth.

  • Dynamic segmentation for highly tailored offers.

Final Tips for Managing Your Scoring System

  • Be consistent. Stick to a clear internal points framework.

  • Review regularly. Audit scoring rules every few months for relevance.

  • Document your scoring logic. Use a shared spreadsheet or Tekmatix note to track point values per action.

  5. Choose to Add or Subtract Points, and specify the amount.

  6. Give the action a name (e.g., “Add 10 points – Purchased Astrology Course”) and click Save.
