For example, if you create a Smart List for leads tagged “Webinar Attendee,” any new contact with that tag will be instantly added to the list—no manual action required.
You can access Smart Lists by navigating to:
Subaccount → Contacts → Smartlists
Follow these steps to build your first Smart List:
Go to Contacts → Smart Lists
Click on “More Filters”
Choose one or more filters (e.g., tag, status, last activity, custom fields)
Enter your criteria (e.g., Tag = “New Lead” or Last Activity > 30 days)
Click Apply to activate the filter
Use AND to add more filters for precise segmentation
(e.g., Tag = “New Lead” AND Last Email Opened < 30 days)
Once your filters are ready, scroll down and click “Save as Smart List”
Name the list and hit Save
Once your Smart List is saved, you can always come back to adjust it.
Go to Contacts
Select the Smart List name at the top
Click the pencil icon next to a filter to modify it
Use the trash icon or “X” to remove a filter
Click the save icon to store your changes
Click “Manage Smart Lists” in the upper-right corner
From there, you can rename, duplicate, share, or delete lists
Objective: Create a list of contacts who haven’t been contacted in the past 90 days so you can send them a re-engagement email.
Go to Smart Lists > All Contacts
Click “More Filters”
In the filter search bar, type Last Activity
Select the filter and set it to “More Than” → 90 Days
From the columns dropdown, enable Last Activity
Click the plus icon (+) to save this as a Smart List
Name it: Inactive - 90 Days
You now have a dynamic list that updates automatically—every time someone hits 90 days of inactivity, they’ll show up here, ready for your next campaign.
Q: Can I manually add contacts to a Smart List?
No. Contacts appear based on filters. However, if you apply a tag or update a field that matches the list’s criteria, the contact will be added automatically.
Q: Can all users see every Smart List?
By default, Smart Lists are tied to the user. However, you can share lists with other users via Manage Smart Lists > Share Button.
Q: Can I transfer a Smart List to another Tekmatix account or snapshot?
Currently, Smart Lists cannot be exported or moved between subaccounts.
Q: Do I need admin permissions to create Smart Lists?
Yes. If you don’t see the Smart List tools, check your user role or ask an admin for access.
